A painting proposal that gets signed lists each room as its own line, names the coats and the exact paint line, and puts prep in writing so the customer can see what a lower bid left out. Confirm colors in writing before the first coat, and say that a color change after cutting in is billed as another coat. State how much furniture you move and what the customer clears first: wall hangings, breakables, and anything fragile on shelves. What belongs in a painting proposal
Painting proposals live or die on prep and product. Say how many coats, which paint (brand and line), whether trim and ceilings are included, and what prep is covered: patching, sanding, caulking, priming. Rooms make good line items so the customer can drop one to fit a budget. Ceilings, trim, and accent walls are the usual optional items. Furniture moving, colour changes after the first coat, and touch-up windows belong in the terms.

What a painting proposal should spell out
Most disputes on painting jobs trace back to something the proposal left vague. Write each of these down before the customer signs.

Terms that belong in a painting proposal
Promise extended coverage on the bid: a longer warranty on labor is often what wins painting work against a cheaper number, and it costs nothing on the day you offer it. Set the terms on the proposal and they print with the scope the customer accepts, carry through to the invoice, and start counting down when that invoice is paid. From there warranty tracking keeps the coverage dates, an estimate of the labor and parts you could still owe, and any callback filed against the job.

Jobs change once the work starts. When painting work grows or shrinks after the customer has signed, send a change order: they approve the added or credited work and the new total on their phone, and the unpaid balance invoice updates itself.

Frequently asked questions
Should a painting proposal price per room or per square foot?
Per room for interiors, so the customer can add or remove rooms, and per square foot for exteriors where the surface drives the cost. Either way, state coats and product so cheaper bids are visibly comparing a different job.
Are ceilings and trim usually included in a painting quote?
Not unless the proposal says so, which is why they make ideal optional items. Listing them with prices avoids the day-one conversation and often adds them to the job.
Should a painting proposal name the paint brand?
Yes. Name the brand, product line and sheen for each surface, or write "or equal" if you may substitute. Two bids at different prices can differ mostly in paint grade, and naming yours lets the customer see that. It also settles any argument about coverage or durability later.
What deposit should a painter ask for?
Enough to cover the paint and materials you order for the job, collected when the proposal is accepted, with the balance due at the final walkthrough. On longer exterior jobs, add a progress payment at the halfway point. Keep the schedule on the proposal and repeat it on each invoice.
What if the customer wants to buy their own paint?
Agree, and say in the proposal that your labor price stays the same and the paint line comes off. Note that coverage, color match and quantity are the customer's responsibility, and that a return trip for more paint is billed. You lose the markup, so do not also absorb their risk.
How should the proposal handle damage found during prep?
Include nail holes, small dents and hairline cracks in the base price, and say that larger drywall repairs, water stains that need sealing, or failing plaster are priced separately. When you find them, send a photo and a price as a change before patching, so the total never surprises anyone at the end.
