Plumbing Proposal Template
The short answer
A plumbing proposal that gets signed states a fixed price for the defined scope, lists code-required items and the permit as their own lines, and asks for a deposit covering ordered equipment on anything over about $1,000. Repipes, water heater replacements, bathroom rough-ins and main line work need the fixture count, pipe material and size, and an honest note on access: which walls or ceilings you will open and whether patching is yours. Tankless upgrades, recirculation pumps and shutoff valve replacements belong as optional items with their own prices, so the customer can add them without a second quote. Say how long water or gas will be off, and who removes the old heater or pipe. The terms should cover your labor warranty, the manufacturer warranty on equipment, and a line that corrections found behind the wall are priced before work continues. Set the balance due at completion, or in stages on a repipe that runs several days.
A plumbing proposal is a priced scope of work with a signature line. Start from this template, or let the AI draft one from a plain-English description of the job, mark the add-ons optional, and send a link the customer accepts on their phone. The invoice, and the deposit invoice if you set one, are created the moment they accept.
What belongs in a plumbing proposal
Plumbing proposals cover the jobs that are too big for a service call quote: repipes, water heater replacements, bathroom rough-ins, main line work. The scope needs the fixture count, pipe material, access assumptions (open walls or not), and what happens to the old material. Water heaters are the classic optional-item case: tankless upgrade, expansion tank, recirculation pump. Put permit and inspection on their own line so the customer sees the city fee is not your margin.

What a plumbing proposal should spell out
Most disputes on plumbing jobs trace back to something the proposal left vague. Write each of these down before the customer signs.
| Part of the proposal | What to spell out |
|---|---|
| Fixtures and equipment | Brand, model, capacity and fuel type for each unit, and whether any fixtures are customer-supplied and warranted by the customer. |
| Pipe material | PEX, copper or CPVC, pipe sizes, and where new runs will be routed compared with the existing lines. |
| Wall access | Which walls, ceilings or floors you open, and whether drywall patching and paint are included, excluded or left to others. |
| Shutoff time | How many hours or days water or gas will be off, and what the household should arrange around it. |
| Code upgrades | Expansion tank, strapping, venting, backflow or shutoff valves required by code, each on its own priced line. |
| Old material | Removal of the old heater, fixtures or pipe, the disposal charge, and anything the customer wants to keep. |
| Permit and inspection | Permit fee at cost on its own line, who meets the inspector, and the expected inspection date. |
| Warranty | Length of your labor warranty, manufacturer warranty on equipment, and what counts as a new problem rather than a callback. |

Terms that belong in a plumbing proposal
Promise extended coverage on the bid: a longer warranty on labor is often what wins plumbing work against a cheaper number, and it costs nothing on the day you offer it. Set the terms on the proposal and they print with the scope the customer accepts, carry through to the invoice, and start counting down when that invoice is paid. From there warranty tracking keeps the coverage dates, an estimate of the labor and parts you could still owe, and any callback filed against the job.

Jobs change once the work starts. When plumbing work grows or shrinks after the customer has signed, send a change order: they approve the added or credited work and the new total on their phone, and the unpaid balance invoice updates itself.
How the proposal gets accepted
Send the link. The customer sees the scope, ticks the optional items they want and watches the total update, types their name, agrees to the terms, and accepts. The acceptance is recorded with the timestamp, IP address, browser, and a hash of the content. The invoice is generated from exactly what they selected, with the deposit invoiced first when you set one.
Frequently asked questions
What should a plumbing proposal say about hidden problems?
That anything found behind the wall is quoted before work continues. Repipes and water heater swaps regularly uncover corroded valves or out-of-code venting; a change-order sentence in the terms keeps that from becoming a dispute.
Do plumbers need a deposit on proposals?
For jobs under a thousand dollars most do not. For repipes, tankless conversions, and anything with ordered equipment, a deposit that covers the parts order is standard and customers expect it.
Who pays for drywall repair after a repipe?
Decide before the customer signs and write it down. One approach excludes finish work and leaves openings clean and ready for a drywall contractor; the other includes rough patching but not texture or paint. Either works if the proposal says which, because the argument always starts when the customer assumed the other one.
How should a proposal handle fixtures the customer supplies?
List them by name, state that you install them as supplied, and say the product warranty is between the customer and the seller. Note that a fixture arriving damaged, incomplete or wrong for the rough-in means a return trip billed at your standard rate. This keeps your labor warranty separate from a faucet you did not choose.
When should payment be due on a multi-day plumbing job?
Split it into stages the customer can see: a deposit that covers materials, a progress payment when rough-in passes inspection, and the balance at completion. Name each stage and its amount in the proposal. A repipe that runs four days should never leave you carrying all the labor and materials until the last day.
Can customers accept this proposal online?
Yes. Send the link, and the customer ticks the optional items they want, types their name, and accepts on any device. The acceptance is recorded with the time, IP address, and a hash of the content, and a signed PDF is produced. See how e-signature works on Numulo.
