Plumbing Estimate Template

The short answer

A typical plumbing job in the US bills $75–$150 for the service call, $150–$300 to clear a drain, $250–$450 to replace a toilet, and $800–$1,500 to swap a tank water heater, with licensed labor at $85–$150 per hour and emergency work at $150–$300. Where a job lands in those bands depends on access (open basement or finished wall), pipe material and age, whether code items like an expansion tank or new venting are needed, and the permit. Galvanized or corroded systems take longer and hide surprises, so estimate them hourly with a one-hour minimum rather than as a flat price. Parts carry a 30–50% markup over cost, higher on small fittings and lower on big equipment. Haul-away of an old heater adds $50–$100. For repeat work, turn your true hourly rate into a flat figure per job, and list parts, labor, disposal and permit on separate lines so the customer can see where the money goes.

A plumbing estimate answers the customer's first question, roughly what will this cost, with enough detail that the answer holds up. Use this template for a quick number with a validity date, send it for online approval, and convert the approved estimate to an invoice with the next number. When the job has options or needs a signature and a deposit, use a proposal instead.

What belongs in a plumbing estimate

Plumbing proposals cover the jobs that are too big for a service call quote: repipes, water heater replacements, bathroom rough-ins, main line work. The scope needs the fixture count, pipe material, access assumptions (open walls or not), and what happens to the old material. Water heaters are the classic optional-item case: tankless upgrade, expansion tank, recirculation pump. Put permit and inspection on their own line so the customer sees the city fee is not your margin.

Terms that belong in a plumbing estimate

Price assumes existing gas and water lines are to code and accessible; corrections found on site are quoted before work continues. Work is warranted for one year on labor; equipment carries the manufacturer warranty. Payment is due on completion unless a deposit is shown above.

Promise extended coverage on the bid: saying how long you stand behind plumbing work separates your number from a cheaper one, and it costs nothing on the day you offer it. Put the terms on the estimate and they carry through to the invoice when the customer approves, then start counting down once that invoice is paid. From there warranty tracking keeps the coverage dates, an estimate of the labor and parts you could still owe, and any callback filed against the job.

Once the work is invoiced, getting paid is handled too: your pay instructions print on the invoice, part payments are tracked, and reminders go out on their own.

Frequently asked questions

How much should I charge to replace a tank water heater?

A like-for-like tank swap bills $800–$1,500 in 2026, before haul-away at $50–$100 and the permit. Code items change the number: an expansion tank, seismic strapping, new venting or a gas line correction each deserves its own line. Rural markets sit near the low end and high-cost metros near the top, so check the total against your break-even rate.

How do I price a tankless water heater conversion?

Expect two to four times the price of a straight tank swap. The unit costs more, but the bigger variables are gas line sizing, a new vent route, a condensate drain, electrical for the unit and the permit. Size the gas line before you quote, and treat the conversion as a quoted project rather than a flat-rate item.

What should I charge to clear a drain?

Flat-rate an accessible drain at $150–$300. Main line work from a cleanout, roof vent access, or a line that needs a camera to find the problem costs more and should be quoted separately. Camera inspection is a billable diagnostic, not a free add-on, and a recurring blockage caused by roots or a belly is a repair estimate of its own.

What should emergency plumbing cost the customer?

Bill after-hours, weekend and holiday work at 1.5 to 2 times standard labor, which puts the rate at $150–$300 per hour. Tell the caller that rate on the phone before you drive out, and write it on the estimate. If you are pulling off scheduled work to answer the call, the premium pays for that disruption.

Should a plumbing estimate include a travel charge?

Yes, when the job sits outside your normal service radius. Add a separate trip or mileage line instead of raising the job price quietly, because customers accept a visible travel charge far more easily than a padded total. Inside your radius, the service call fee already covers the drive.

What is the difference between an estimate and a proposal?

An estimate is a priced list with a validity date that the customer approves with a typed name. A proposal adds a written scope, optional items the customer can pick, terms, an electronic signature record, and automatic invoicing with a deposit on acceptance.
