Painting Estimate Template
The short answer
Painting the walls of a standard interior room bills $300–$600 in the US in 2026, with the ceiling adding $150–$300 and trim $1–$3 per linear foot; a single-family exterior repaint runs $1,500–$4,000. Behind a room price is wall area, not floor area: walls-only square footage times $1.50–$3.50, so ceiling height, stairwells and open plans all push it up. The other drivers are coats (dark to light often takes a third), prep such as patching, sanding, caulking and masking ($150–$300 as its own line), trim and doors, and how much furniture the crew moves. Build labor from $40–$75 per painter hour and your production rate, then add paint and sundries marked up 20–40% over contractor cost. On exteriors, scraping, priming and wood repair push a bid toward or past the top of the range and should be listed rather than absorbed.
A painting estimate answers the customer's first question, roughly what will this cost, with enough detail that the answer holds up. Use this template for a quick number with a validity date, send it for online approval, and convert the approved estimate to an invoice with the next number. When the job has options or needs a signature and a deposit, use a proposal instead.
What belongs in a painting estimate
Painting proposals live or die on prep and product. Say how many coats, which paint (brand and line), whether trim and ceilings are included, and what prep is covered: patching, sanding, caulking, priming. Rooms make good line items so the customer can drop one to fit a budget. Ceilings, trim, and accent walls are the usual optional items. Furniture moving, colour changes after the first coat, and touch-up windows belong in the terms.

Terms that belong in a painting estimate
Promise extended coverage on the bid: saying how long you stand behind painting work separates your number from a cheaper one, and it costs nothing on the day you offer it. Put the terms on the estimate and they carry through to the invoice when the customer approves, then start counting down once that invoice is paid. From there warranty tracking keeps the coverage dates, an estimate of the labor and parts you could still owe, and any callback filed against the job.

Once the work is invoiced, getting paid is handled too: your pay instructions print on the invoice, part payments are tracked, and reminders go out on their own.
How the estimate gets approved
Send the link. The customer sees the items, the total, and the validity date, types their name, and approves. You get an email, and the estimate converts to an invoice with the next invoice number in one click, carrying the same client, items, and any deposit.
Frequently asked questions
How much should a painter charge per square foot of wall?
Walls only, $1.50–$3.50 per square foot of wall surface is the usual band for interior repaints in 2026. Measure the wall area room by room, not the floor, then price ceilings, trim and prep as their own lines. If your figure lands far below that band, check whether your production rate is too optimistic.
How do I price rooms with high ceilings or a stairwell?
Measure the actual wall area, because a 10 foot or vaulted room has far more surface than the floor suggests. Stairwells also need ladders, planks and slower cutting in, so add the extra labor hours as a named line. Pricing every room at your standard rate loses money on exactly these rooms.
How much extra should I charge for a dark-to-light color change?
Price a third coat, and often a tinted primer, as its own line at your normal rate for that surface. Say two coats in the base price and list the extra coat separately so the customer sees why a pale color over red costs more than a refresh in the same shade.
Should painters charge for moving furniture?
State what is included, such as pulling light furniture to the middle of the room and covering it, and price anything more as extra labor. An empty room and a fully furnished one take different hours, so decide which one you are quoting after walking through with the customer.
What should I charge to paint interior doors?
About $75–$150 per door for both sides and the edges, more for paneled doors, doors that need stripping, or oil-based enamel that needs a bonding primer. Price door frames with the trim and list the doors as their own line so the customer can add or drop them.
What is the difference between an estimate and a proposal?
An estimate is a priced list with a validity date that the customer approves with a typed name. A proposal adds a written scope, optional items the customer can pick, terms, an electronic signature record, and automatic invoicing with a deposit on acceptance.
